Implementation of ISO 9001 should be a straightforward process. There are copious amounts of horror stories of systems being implemented that are a nightmare to use, that are incredibly document heavy or that make working life harder for all involved. These stories are generally myths that scare businesses into staying away from ISO. The truth, however, is that ISO 9001 benefits businesses in terms of efficiency and effectiveness, does not require a lot of documentation and works to continually improve an organisation.

When implementing an ISO 9001 system it is best to approach the process as a project with a project plan and an idea of the resources and time needed from the beginning to end of the process. There are various resources such as people, materials and expertise that are needed at certain stages of the implementation process and need to be made available.

Most businesses will engage a consultant to drive the implementation project and also to take charge of writing the necessary documentation. For straightforward implementation, the aim should be that the organisation owns the management system and are able to see the value at every level of their organisation.

Whether a consultant drives the project or not, a gap analysis is a recommended first step ISO 9001 Implementation. A Gap Analysis compares current systems and documentation to the standard with discrepancies noted. A Gap Analysis will show up what systems already exist and where the most value can be added, there is little point in changing existing practices that already meet the standard.

With a common sense/practical approach, ISO can add great benefit to an organization with quality management systems implemented that are beneficial and relevant to the business. By identifying key processes and facilitating continual improvement the project will be simple with a focus on delivering value for money.
